Job description

As an Executive Assistant (EA), you will primarily support the President & CEO at Ovako by managing daily operations, coordinating meetings, travel, and preparing presentations. You will also provide selected support to the CFO, EVP Global Sales, and EVP Group HR, Communications & EHS. The role includes coordinating Executive Management Meetings, managing our board portal, and handling logistics for Board meetings and other corporate meetings. Additionally, you will oversee head office operations, including office conditions, supplies, equipment, and collaboration with the building landlord.

You will for example:

  • Facilitate daily operations for the CEO by managing correspondence, collecting and analyzing information
  • Optimize the CEO's calendar by scheduling and booking meetings and travel
  • Prepare professional PowerPoint presentations
  • Coordinate meetings and travel for the CFO, EVP Global Sales, and EVP Group HR, Communications & EHS
  • Coordinate and prepare for Group Executive Meetings (GEM), Board meetings, and other corporate meetings
  • Manage head office operations and improve the office environment

Who you are:

  • You are a service-oriented and organized individual with excellent business acumen and strong service skills
  • You have experience working in a global environment and communicate fluently in both English and Swedish
  • You are proactive and solution-oriented, always staying one step ahead and seeing what needs to be done
  • You thrive in a dynamic and ever-changing environment and deliver exceptional results
  • You are a true collaborator with excellent networking and communication skills, but also independent and capable of prioritizing tasks and solving problems efficiently

Other requirements for this role are:

  • Several years of experience as an assistant in a similar role, particularly supporting C-suite executives and/or Partners at top-tier consulting companies, or equivalent
  • Relevant education; a bachelor's degree in business administration, management, or a related field is preferred
  • Strong technical proficiency in MS Office (Outlook, Word, PowerPoint, Excel, Teams)
  • Exceptional written and verbal communication skills
  • Ability to handle confidential information with integrity and discretion
  • Flexibility to manage shifting priorities and changing business needs

Your time management skills allow you to prioritize tasks efficiently and solve problems decisively. You pay great attention to detail and are known for your meticulousness. Additionally, you demonstrate strong emotional intelligence to facilitate the effective management of complex and high-pressure situations within a dynamic and fast-paced professional environment. Your ability to work both independently and collaboratively makes you a valuable team player who can adapt to changing circumstances and drive continuous improvement.
